Remedy Definition - User Login Tracking

    Here is a very simple extension to any Remedy system that can track form opening activity.

     

    Summary

    The User Login Tracking definition is a basic set of Remedy ARS objects that can be used to track form opening events. This is useful to gather rough usage metrics, to see if particular forms are used anymore or if people are directly accessing forms and/or views they should not be. Other events can be tracked by creating additional workflow.

    Build Information

    The original definition set was built on either version 5.x or 6.x. It has most recently been updated in version 8.1 as Custom objects however should still be compatible with earlier versions of ARS. The objects include a mix of historical best practice naming conventions and new overlay naming conventions (__c).

    Archiving

    Archiving is not enabled by default. Based on the number of forms and users being tracked the of record count can grow rapidly. You may want to enabled archiving to manage the number of records stored in the ‘+ULT:User Login Tracking__c’ form to maintain and avoid performance implications.

    Additional Examples

    +SHR:Access Check__c

    The ‘+SHR:Access Check__c’ active link is included as an example. Based on the Run If qualification it can give the user a message and close the form.

     

     

    Disable the Account

    If the event being logged is severe a filter can be created based on Submit and other criteria to disable the account. Use the ‘Application-Invalidate-User’ Run Process.

     

     

     

    NOTE: be careful to avoid disabling your Administrator account and locking yourself out of the system by triggering Application-Invalidate-User.
