Deleting outgoing emails when using Email Based Approvals

    QUESTION:

    The AR System Email Mailbox Configuration form setting Delete Outgoing Notification Messages (on the Advanced Configuration tab) is set to Yes, but outgoing emails related to Email Based Approvals are not deleted and still appear in AR System Email Messages form when searching for Outgoing messages.


    ANSWER:

    Outgoing notification emails will be deleted when the Delete Outgoing Notification Messages setting (AR System Email Mailbox Configuration form -> Advanced Configuration tab) is set to Yes.
    This setting is retrospective, and any emails sent previously will be deleted once this is set to Yes.

    If the com.bmc.arsys.emaildaemon.SaveSentItem setting (Remedy AR System Administration Console -> System -> General -> Centralized Configuration) is set to False, configuration at the mailbox level (Delete Outgoing Notification Messages) is ignored for all outgoing mailboxes. This will cause Email Based Approvals to fail.

    If the com.bmc.arsys.emaildaemon.SaveSentItem setting (Remedy AR System Administration Console -> System -> General -> Centralized Configuration) is set to True, configuration at the mailbox level (Delete Outgoing Notification Messages) is checked and if it is not set to Yes, the emails will be preserved.

    When the com.bmc.arsys.emaildaemon.DelayDelete setting (Remedy AR System Administration Console -> System -> General -> Centralized Configuration) is set to True, emails for Approval will not be deleted until a response is processed by each approver.

    Note that if the com.bmc.arsys.emaildaemon.DelayDelete setting is missing, it can be added by clicking the Add button on the bottom of the form once the com.bmc.arsys.emaildaemon properties have been loaded.
