    How to Migrate or Upgrade from Track-It! 11.4 to Track-It! 2020.01 (R1) and earlier?



    This document provides a step by step instructions to successfully migrate from Track-It! 11.4 to Track-It! 2020. By following each step in the checklist, you’ll be able to quickly and confidently move to the new platform. At a high level, there are 5 key steps:

      Migration Checklist 
      1) Pre-Migration considerations   
    • Ensure all the Track-It! 11.4 features you require have been added to Track-It! 2020 by reviewing the 11.4 vs 2020 Feature Comparison Table. If any key features are missing, consider waiting until these are delivered in an upcoming release.
    • Determine if it best serves your organization to migrate legacy data, or to leave this data in Track-It! 11.4 and start fresh on Track-It! 2020. Many customers have chosen to start fresh with Track-It! 2020 in order to more easily have the system model their current business processes and reporting needs. Review this page of the documentation for information on how to make this decision. To know what data can be migrated, see Data that is migrated.       Are you migrating to move off EOL operating systems? Remember that Track-It! 11.4 continues to be fully supported and is also supported running on Windows Server 2016.
    • Review the system requirements for Track-It! 2020. They’ve changed significantly from Track-It! 11.4. Most customers are best served using the included Microsoft SQL Express database. That said, some customers do better with a dedicated SQL Server. This section of the documentation will help you make that decision.
    • Review the video overview of the installation process. Since Track-It! 2020 is so different from Track-It! 11.4, it is important to understand how this changes the installation. Watching this video only takes a few minutes.
      2) Install Track-It! 2020 
      3) Running a Test Migration 
      Many customers migrating to Track-It! 2020 have unexpectedly found inconsistencies in their Track-It! 11.4 data caused by data imports or database edits that were done many years and versions ago. These inconsistencies have caused errors in the migration process and significantly delayed progress. As a result, a test migration is now a required part of the process.   
    • Watch the short video on how to setup, configure, and run the migration utility on this page.
    • Ensure that your Track-It! 11.4 system is running on Windows 2012 or a later version supported by Track-It! 11.4. Using earlier versions of Windows will cause the migration to fail.
    • Install the Data Migration Tool on your existing Track-It! 11.4 application server.
    • Run a test migration. We’ve found that many customers have unknowingly imported or manipulated data in their Track-It! 11.4 or prior system in such a way that it cannot be imported into Track-It! 2020 without some assistance. If any errors are found during the test migration open a support ticket with BMC so a technician can address these for you.
      4) Running a Final Migration   
    • As the Test Migration only performs a check against the 11.4 Data to make sure there are no anomalies, at least one run of the Final Migration needs to be performed to Migrate the Data from the 11.4 Database to the 2020 Production Database.
    • Perform the final migration. See Running a final migration.
    • Log in to confirm all data is moved as expected.
       5) Configuring Track-It! 2020 and Go Live         
    • Setup Windows Authentication to make logins and password management easy. Make sure to watch the 5-minute video overview.
    • Configure your business rules. The video in this section is critical. Business rules and notifications are completely different in Track-It! 2020. Watching this video is critical to understanding how they work. BMC strongly recommends that you start by using the business rules that are available out-of-the-box. You can then later add additional ones if needed.
    • Configure your email settings. Use a test email account at this point in time. After the final migration, re-configure to point to your production email account.
    • Configure the other settings within Track-It!. Follow these instructions to setup to leverage powerful features such as form customization, data segregation and other abilities.
    • If you created custom reports in Track-It! 11.4, you will need to recreate them in Track-It! 2020. While old reports are not migrated over, the reporting system in Track-It! 2020 is all new and fully integrated. No additional tool, such as Crystal Reports, is needed. You can also schedule reports to be run and distributed via email automatically. For information on how to create custom reports, see this video. Reporting is dramatically different in Track-It! 2020 and watching this video is critical. After watching the video, you can find additional information in the documentation here as well as a data model here.     • Train technicians to use the new system by having them watch the free online trainings for Technicians.
    • Train your end users or requesters by having them watch the free online trainings for requesters.
          Another Run of the Final Migration can be performed in order to move the Data added into the 11.4 system since the Last run of the Final Migration. See Running a final migration.
          Log in to confirm all data is moved as expected.     
          Configure your email settings       to            use your production email account and completely shut down the Old 11.4 system.
